If you are planning a wedding, a milestone birthday, a fundraiser or a corporate celebration in Calgary, one question usually comes before all the fun ones: what will a planner actually cost?
The honest answer is that it depends on how much help you want — and on the size and complexity of your event. Below are the price ranges Calgary couples and hosts commonly see, the three ways planners usually charge, and the questions that will help you get a fair, clear quote.
These ranges reflect published Calgary market guides. They are not a Reimajinevolution quote. Every event is scoped individually, so your final price depends on guest count, venue, vendors, décor, rentals and how much of the planning you want handled for you.
The short answer
Full-service event planning: $1,500–$10,000+
Day-of / month-of coordination: $1,000–$3,000
Hourly planning help or consulting: $75–$250 per hour
A small, straightforward celebration will usually sit near the lower end. A large wedding, a multi-vendor corporate event or a celebration with custom décor, staging and entertainment can sit much higher.
The three ways planners usually charge
1. Flat fee
You pay one set price for a defined package. This is the easiest model to budget around, because you know the cost before the planning starts. Make sure the package spells out exactly what is included: vendor sourcing, timeline creation, rehearsal or walkthrough, day-of management, setup and teardown.
2. Percentage of your event budget
Some planners charge a percentage of the total event spend, often around 10–20% for larger weddings and corporate events. This model can work well for big events, but always ask what counts toward the percentage — and what does not.
3. Hourly rate
Hourly help suits a host who mostly has things handled but wants expert eyes on a specific piece: reviewing vendor contracts, building a timeline, or troubleshooting a tricky layout. Calgary hourly rates commonly fall between $75 and $250, depending on experience.
Tip: whichever model you are quoted, ask for it in writing, with inclusions, exclusions and payment timing clearly listed.
What actually changes the price?
Guest count. More guests usually mean more tables, chairs, linens, food, staff and coordination time.
Venue and location. A venue that includes tables, chairs and basic linens is a different job from a blank hall or backyard that needs everything brought in.
Number of vendors. Catering, photography, music, décor, lighting, rentals and entertainment each add coordination — and each needs confirming, scheduling and managing on the day.
Décor and rentals. Custom backdrops, flower walls, dance floors, photo booths and branded signage add impact, but they also add design, delivery, setup and teardown time.
How much you hand over. Full planning from first idea to final send-off costs more than day-of coordination, because the planner carries the whole project, not just the event day.
Timing and season. Peak Saturdays book fast in Calgary. Short notice or peak-season dates can limit availability and change pricing.
Full planning vs. day-of coordination: which do you need?
Full-service planning is usually the right fit if:
You are starting from scratch and want one team to carry the whole event.
You have a large guest list, multiple vendors or a complex venue.
You want help with budget, design, vendor negotiation and the run-of-show.
Day-of or month-of coordination is usually enough if:
You have already booked your venue and key vendors.
Your plan is mostly set, but you want a professional holding the clipboard on the day.
You want someone else confirming vendors, running the timeline and solving problems while you enjoy your own celebration.
Many hosts land somewhere in between — partial planning, where a planner steps in at a defined point and handles the rest. Ask whether that option exists; it often does.
What a good planner actually saves you
A planner is not just an extra pair of hands. A good one can:
Save time — vendor research, quotes, follow-ups and confirmations take hours most hosts do not have.
Prevent expensive mistakes — wrong quantities, missing setup time, overlooked venue rules and timeline clashes are common, and costly.
Negotiate with knowledge — planners who work with vendors regularly know what is reasonable, what is negotiable and what to watch for in a contract.
Protect your day — when something goes wrong (and something usually does), the planner fixes it quietly while you stay with your guests.
That is why the cheapest quote is not always the best value. Compare what is actually included, not just the headline number.
Questions to ask before you sign
1. What exactly is included — and what would cost extra?
2. How do you charge: flat fee, percentage or hourly?
3. How many events like mine have you handled?
4. Who will be on site on the day, and for how many hours?
5. How do you handle vendor communication and changes?
6. What happens if a vendor cancels or the timeline slips?
7. What is your payment schedule, and what is your cancellation policy?
A planner who answers these clearly is a planner you can trust with your event.
